Speaking of customization...

This page offers options to customize the appearance of the context by changing the logo image displayed at the top of the page and on the login screen, as well as including custom fields in the profiles of registered users. For developers, methods are available in the TOTVS Identity REST API to create, update, and query custom fields.

If the data to be entered in the custom field is personal or sensitive data, it is recommended to mark it as personal, thus ensuring the confidentiality of the information and protecting access to personal data from unauthorized access, whether accidentally or unlawfully.

01. Click the Settings Image Modified icon in the upper right corner and select the Customization option.

02. In the Company Logo feature, click the Select file button.

03. In the opened screen, click Select file and navigate to locate the desired image, or drag the image and drop it in the indicated area.

The image must comply with the specifications provided on the screen regarding the supported format (png) and the maximum size (1MB). The size of the image in the header is 200 x 60 pixels.

Once the image is displayed on the screen, it is possible to configure its display in Identity (rotate, mirror horizontally or vertically, as well as select the part that should be displayed).

04. Click Save to change the logo image.

After the change, it may take a few minutes for the image to load in the header (next to the left side of the top menu).

01. Click the Settings Image Modified icon in the upper right corner and select the Customization option.

02. Click on the Custom Fields feature.

03. Click the Add Field button to include a custom field in the user profiles.

04. In the Settings tab, provide the details of the new field.

Field name
The name represents the description of the field content on the pages where the user profile is displayed and cannot be changed after creation.

Field type 
Type of field that should be presented for filling. The available options are:

  • Text: any type of text.
  • Number: decimal numbers.
  • Date: calendar dates.
  • List: list of options for selection.

→ When the field type is List, it will be necessary to provide the available options for selection. Click Add options Image Modified or Remove Image Modified to configure the selection options for the field.

Make it mandatory for user registration.
When checked, it determines that filling in the field is mandatory.

Make visible only through the REST API. It will not be displayed to the user.
When checked, it determines that the field will not be displayed on the screen during user registration, nor in the profile. The field can only be filled or queried through the REST API.

05. In the Personal Data tab, include the privacy information for the field, if necessary.

With the personal data configuration, the field is added to the listing of personal data in Identity.

The Personal Data configuration must be performed to comply with the General Data Protection Law (LGPD or LGPDP) in the organization. For more clarifications on the organization's actions regarding LGPD compliance, access the LGPD guide on the TOTVS website (documentation in Portuguese language).

Data Type
Allows selecting a data type that will be marked as sensitive or hidden. The available types are: Name, Email, CPF, RG, Driver's license, Work card, Voter registration, Passport, or others, depending on the type of component for which privacy is being configured.

Is it sensitive data?
When marked as Yes, the data is considered sensitive.

Any data of racial or ethnic origin, religious belief, political opinion, union affiliation, or affiliation to a religious, philosophical, or political organization, data related to health or sexual life, genetic or biometric data, when linked to a natural person, is considered sensitive.

Classification and Justification
Specifies why the data is being requested and for what purposes it will be used.

  • Classification: The classification allows selecting which reason generated the need for data privacy configuration. The available classification types are: Contract execution, Legal obligation, Consent, Execution of public policies, Study by research organization, Regular exercise of law, For the protection of life, For health care, Legitimate interest, and Credit protection.
  • Justification: Allows providing a text justification for why the data is requested and how it will be used.
    To insert a new classification and its justification, click the Add Image Modified button located below Classification and Justification.
    To remove, click the Remove button located below the respective classification and justification. 

06. After including the information, click Save.

The custom fields will be displayed on the user management pages and during the creation of new accounts. For more details, refer to the Users (documentation in Portuguese language).

After creating the custom field, it is not possible to edit its name and type.

03. Locate in the list the feature that should receive the configuration and click Add sensitive data.

The privacy configuration screen will open, already filled with the name defined for the custom field. The name and type of the field cannot be changed.

04.Fill in the requested information and click Save.

With this configuration, the field is added to the listing of personal data in Identity.


Delete Custom Field

01. Click the Remove Image Modified icon located next to the added field.

The privacy configurations provided for the custom field will be removed. By deleting this data, it will no longer be considered personal and will not be monitored anymore. However, all existing records about it will be kept as history for auditing.

When defining custom fields with personal or sensitive data, they can be viewed through the Data and Privacy screen, in the Security tab.
